There are some things you should be aware of if you decide to create multiple installations of Medical Outlook data.  Just like regular email client products (like Outlook and Outlook Express) Medical Outlook stores your messages in a folder on a computer's hard drive.  When you 'split' your company up into multiple installations there are some side effects that you may notice.  In a typical example below you see 3 network computers, and 2 laptops.  The 3 network computers are permanently connected to the Network Server, while the 2 laptops are only connected to the Network Server when they are physically in the office.  As a result all 5 computers have the Medical Outlook software installed and the Medical Outlook data files are stored on the Network Server as well as on Laptop1 and Laptop2.

An immediate side effect of this scenario would be as follows:

 

The owner of LapTop 1 comes into the office but has left his laptop at home.  He needs to check Medical Outlook for new mail and needs to send some as well so he sits down at Computer 3 and logs into Medical Outlook using his regular logon ID and password.  He immediately notices several things:

 

1.His mailboxes are all empty. He can't see any packages he's sent or received, any draft packages he was working on etc*.
2.His Personal Address Book is empty*.
3.His Company Address Book* has different entries than he's used to seeing.

What Happened?

 

This person's mailboxes, and personal information etc are all stored on LapTop 1.  So when he logs in using a computer connected to the Network Server he cannot see them.  Likewise, if he uses this computer to create and send any packages they will be stored on the Network Server and when he retrieves LapTop 1 and logs into Medical Outlook he won't be able to see those items in his 'Sent Items' mailbox.

 

What can be done?

 

Luckily, we have a solution.  In Medical Outlook users can use the 'Package Search' window to search for packages they've sent, received or even deleted on the SPIN data servers at the HermeTech Data center. They can then opt to 'Restore' those messages by downloading them again into their current physical location.

 

This method can even be used for disaster recovery.  Even if LapTop 1 were destroyed or stolen, he could still sit down at any computer connected to the network server and be up and running with no data loss in a matter of minutes.

 

Even if every computer in every office was destroyed.  All you have to do is reinstall the software, configure it as in Step 1 and recover your mail.
